Why URLs? Gmail and Outlook block images embedded inside signatures, so images must be hosted online (e.g. WordPress → Media → copy file URL). Use a transparent PNG logo so it also looks right in dark mode.
Your server can't generate icon images (PHP GD extension missing), so colored text badges are used instead. Ask your host to enable GD for real icons.

A good signature answers three questions at a glance — who you are, how to reach you, and what to do next. Keep it to the essentials:

  • Full name — the largest text in the signature.
  • Job title and company — one clear role, not a list of titles.
  • One or two contact methods — usually phone and website; your email is already in the header.
  • A headshot or logo — a friendly photo builds trust; a logo builds brand recognition.
  • A few relevant social links — the two or three profiles your contacts actually use.

How to Add Your Signature to Gmail, Outlook & More

GGmail

  1. Click Copy signature in the generator.
  2. In Gmail, open Settings (⚙) → See all settings.
  3. On the General tab, find Signature → Create new.
  4. Paste with Ctrl+V (Cmd+V on Mac).
  5. Choose it under “Signature defaults” and click Save Changes.

OOutlook (web & new Outlook)

  1. Click Copy signature.
  2. Open Settings → Accounts → Signatures.

Signature Not Showing Correctly? Quick Fixes

Images don’t appear

Email apps can only show images hosted online. Base64 images, local files and most Google Drive or Dropbox links are blocked.

Fix: upload to your website (e.g. WordPress Media) and use that direct image URL.

Layout breaks in Outlook

Pasting via Word or re-typing inside Outlook’s editor can strip styles.

Fix: click Copy signature again and paste directly into Outlook’s signature box — don’t edit it there.

Rounded corners look square

Classic Outlook for Windows ignores rounded corners and gradients.

Fix: expected behavior — the design falls back to clean squares and solid colors automatically.

Logo invisible in dark mode

A dark logo on a transparent background can disappear on dark inboxes.

Fix: use the Dark inbox preview and pick a logo version with enough contrast, or a light background.

Formatting lost on iPhone

The iOS Mail app’s signature field only keeps basic text styling.
