Free Email Signature Generator

Pick one of 48 templates, add your photo, social icons and a "Book a call" button, then paste it into Gmail, Outlook or Apple Mail.

Email Signature Generator · Your details stay in your browser. Nothing you type is sent to our server.

My saved signatures
Saved in this browser only — handy for separate work, personal or team-member signatures.
Previews use your details
Sample images are for preview only — replace them with your own before copying your signature.
No photo? Most designs show a monogram with your initials instead.
Why URLs? Gmail and Outlook block images embedded inside signatures, so images must be hosted online (e.g. upload it to your website or image host and copy the file URL). Use a transparent PNG logo so it also looks right in dark mode.
Icon images aren't available right now, so colored text badges are used instead.
Full profile links. For WhatsApp, just the number with country code (e.g. 919876543210).
Call to action
Scheduling links ("Book a call") are the most effective signature CTA — keep it to one.

Why this generator

Free, clean, works in every inbox

Many "free" email signature generators quietly add their own logo or a "Created with…" link to your signature, lock the best templates behind a paid plan, or produce HTML that falls apart the moment it reaches Outlook. This one does none of that.

Every signature is built with the same email-safe techniques professional email designers use, table-based layout and inline styles, so it looks the way you designed it in Gmail, Outlook (desktop and web), Apple Mail and mobile mail apps. Your details never leave your browser.

No branding

No "made with" footer, watermark or hidden link. The signature is 100% yours.

Every template free

All 48 templates and every feature, with no premium tier.

Email-client safe

Table layout and inline styles that hold up in Outlook, not just in a browser preview.

Private

No account, and your contact details are never stored on our server.

Templates

48 templates in 5 styles

Twelve hand-made designs, each in four colour themes. The previews use your own details, so you see exactly how each one will look before you pick it.

Modern · 12 templates

Clean layouts with a headshot, divider and gradient accent, the most popular style for corporate and startup teams. Aurora, Metro, Pulse.

Creative · 16 templates

Gradient panels, name pills, contact chips and tinted cards for designers, agencies and creators. Nova, Prism, Studio, Card.

Professional · 8 templates

Horizontal and logo-first layouts with classic serif type for executives, law firms and consultants. Horizon, Executive.

Minimal · 8 templates

Airy, centred or text-only signatures that load fast and suit long reply threads. Zen, Mono.

Dark · 4 templates

A premium dark card that stands out in light inboxes and looks natural in dark mode. Slate.

Your own design

Start from any template and change the colours, fonts, sizes, spacing, contact labels and icon style in the Design tab to match your brand. Or click Surprise me for a random idea.

Experiment freely, go back a step with Ctrl+Z (Cmd+Z on a Mac), or let the random button suggest a design.

Copy, HTML or download

Copy the formatted signature, copy the raw HTML, or download an .html file for Thunderbird and other clients.

Checklist

What to include

A good signature answers three questions at a glance: who you are, how to reach you, and what to do next. Keep it to the essentials:

  • Full name: the largest text in the signature.
  • Job title and company: one clear role, not a list of titles.
  • One or two contact methods: usually phone and website. Your email address is already in the header.
  • A headshot or logo: a friendly photo builds trust; a logo builds brand recognition.
  • A few relevant social links: the two or three profiles your contacts actually use.
  • One call to action: a scheduling link like "Book a call" works best.
  • Pronouns (optional): a small, inclusive touch many teams now add.
  • Legal disclaimer (if required): short, in small print, at the very bottom.

Best practice

Do's and don'ts

✓ Do

  • Keep it about 400 to 600 px wide so it fits on phones.
  • Stick to two or three colours and one or two fonts.
  • Use a transparent PNG logo so it looks right in dark mode.
  • Make every phone number, email address and link clickable (the generator does this for you).
  • Use one clear call to action, ideally a booking link.
  • Test by sending an email to yourself and opening it on a computer and a phone.

✕ Don't

  • Make the whole signature one big image. It can be blocked, it isn't clickable, and it can push you towards spam filters.
  • List every social network you have ever joined.
  • Add inspirational quotes, animated GIFs or heavy banners to every reply.
  • Use custom web fonts. Most email apps replace them, which is why the generator only offers email-safe fonts.
  • Paste Google Drive or Dropbox share links as image links. They usually don't display.
  • Repeat your email address in huge text. It is already in the "From" line.

Installation

Add it to Gmail, Outlook and more

Always use Copy signature and paste straight into the signature box. Retyping or editing it inside the mail app can break the styles.

Gmail

1. Click Copy signature. 2. In Gmail, open Settings () → See all settings. 3. On the General tab, find Signature → Create new and give it a name. 4. Paste with Ctrl+V (Cmd+V on a Mac). 5. Choose it under "Signature defaults" for new emails and replies, then click Save Changes at the bottom.

Outlook (web and new Outlook)

1. Click Copy signature. 2. Open Settings → Accounts → Signatures. 3. Click New signature, name it and paste. 4. Set it as the default for new messages and replies. 5. Click Save.

Outlook desktop (classic)

1. Click Copy signature. 2. Go to File → Options → Mail → Signatures. 3. Click New, name it and paste into the editor. 4. Pick it as the default for new messages and replies. 5. Click OK. Gradients appear as solid colours and rounded corners as square here.

Apple Mail

1. Click Copy signature. 2. Open Mail → Settings → Signatures. 3. Select your account and click +. 4. Untick "Always match my default message font", then paste. 5. Close settings. If images show a blue "?", quit Mail and open it again.

Yahoo Mail

1. Click Copy signature. 2. Open Settings → More Settings → Writing email. 3. Turn on Signature for your account. 4. Paste into the signature box. It saves automatically.

Thunderbird, Zoho and others

In Thunderbird, open Account Settings, tick "Use HTML" and paste the code from Copy HTML. In Zoho and other apps, look for "Signature" in settings and paste; if there is an HTML or source mode, use Copy HTML there.

On iPhone and Android

  • The designed signature you set in Gmail or Outlook on a computer or in webmail is added to mail you send from there.
  • The Gmail and Outlook phone apps have their own, separate signature setting that is plain text only. Set a short text version there, or turn it off so you don't get two signatures.
  • The built-in iPhone Mail app keeps only basic formatting, so complex designs may lose their layout or images.
  • Always send yourself a test email and open it on your phone.

Examples

Signature ideas by role

Sales and business

Lead with a scheduling button and one phone number. A status badge like "Replies within 2 hours" sets expectations. Try Pulse or Aurora.

Freelancers and designers

Show your work: a portfolio link as the call to action plus Behance or Dribbble icons, in a bold creative layout. Try Studio or Nova.

CEOs and executives

Keep it understated: name, title, company logo and one link. Serif type adds authority. Try Executive or Mono.

Corporate teams

Use one template in your brand colours for everyone, with a logo and a short legal disclaimer. Try Horizon or Metro.

Real estate and consultants

A friendly headshot builds trust. Add your mobile, office address and a "Schedule a viewing" button. Try Card or Prism.

Students and job seekers

Name, degree or target role, LinkedIn and portfolio. Clean and minimal, no photo needed. Try Zen or Mono.

Troubleshooting

Signature not showing correctly?

Most problems come from how mail apps treat images and styles, not from the signature itself.

Images don't appear

Email apps can only show images hosted online. Embedded (base64) images, files on your computer and most Google Drive or Dropbox links are blocked. Fix: upload the image to your website (for example WordPress → Media) or an image host, and paste that direct image link.

Layout breaks in Outlook

Pasting through Word, or retyping inside Outlook's editor, can strip styles. Fix: click Copy signature again and paste straight into Outlook's signature box. Don't edit it there.

Rounded corners look square

Classic Outlook for Windows ignores rounded corners and gradients. Fix: nothing to do. The design falls back to clean squares and solid colours automatically, and the layout holds because it is built with tables.

Logo invisible in dark mode

A dark logo on a transparent background can disappear in a dark inbox. Fix: check the Dark inbox preview and use a logo version with enough contrast, or one with a light background.

Blue question marks in Apple Mail

Apple Mail sometimes doesn't load new signature images straight away. Fix: quit Mail completely and open it again.

Formatting lost on iPhone

The iOS Mail signature field keeps only basic text styling. Fix: send designed emails from a computer or webmail, and keep a short text signature in your phone apps.

Signature appears twice

Both your email account and your phone app may be adding a signature. Fix: turn off the phone app's own signature, or set your signature for new emails only.

FAQ

Frequently asked questions

Is this email signature generator really free?

Yes. All 48 templates and every feature are free, with no sign-up, no paid tier and no branding added to your signature.

Will my signature work in Gmail and Outlook?

Yes. It uses table-based HTML with inline styles, which is what Gmail, Outlook (desktop and web), Apple Mail and Yahoo support best. Classic Outlook desktop shows gradients as solid colours, but the layout stays intact.

How do I add my photo or logo?

Upload the image to your website or any public image host, copy its direct link, and paste it in the Images tab. Email apps block images embedded in the signature, so a hosted link is the reliable way. The sample images in the tool are for previews only, so replace them before you copy.

Can I add social media icons?

Yes: LinkedIn, X, Facebook, Instagram, YouTube, TikTok, GitHub, Behance, Dribbble and WhatsApp, in six icon styles and three shapes. Paste full profile links; for WhatsApp, just the number with the country code.

Can I add a "Book a call" button?

Yes. Add any link (Calendly, Cal.com, Google Calendar or your own page) as a pill button, square button, outline pill or text link, plus an optional second link.

Do you store my information?

No. Everything you type stays in your browser, and your current and saved signatures are kept in your browser's storage only. The social and contact icons in your signature are small images served from our site so they show in every inbox; those requests contain only the icon name, colour and size, never your details.

Can I create signatures for my whole team?

Yes. Design one in your brand colours and save it under My signatures. Then, for each person, load it, change the name, title and contact details, and save it under their name. Because they are stored in your browser, make them on the same computer.

What size should an email signature be?

About 400 to 600 px wide, with a 70 to 100 px headshot, a logo up to 200 px wide and text at 12 to 14 px. Keep each image under about 50 KB.

Can I match the signature to my brand colours?

Yes. Pick any template, then open the Design tab and set your own accent colour, gradient or second colour, and text colour. You can also change the font, text and name size, spacing, contact labels and icon style. Choose the template first and customise it afterwards: picking a template applies that template's own colours, font and icon style, and Undo brings your previous design back if you click one by mistake.

Where can I host my photo and logo for free?

Your own website is the best place: in WordPress, upload the image under Media and copy its file URL. If you don't have a site, use any image host that gives you a direct link ending in .png or .jpg. Avoid Google Drive and Dropbox share links, which usually don't display in email.

Can I edit the HTML myself?

Yes. Click Copy HTML to get the full source code, or download it as an .html file and open it in any code editor.

Why do my images show a blue question mark in Apple Mail?

Apple Mail sometimes needs a restart to load signature images. Quit Mail completely and open it again.

Should I include my email address in my signature?

It is optional, because your email is already in the "From" line. It helps when emails are forwarded or printed, so many people still include it.

Does it work on my phone?

You can build a signature on a phone, and the Mobile preview shows how it looks on small screens. Install it from a computer, though: the Gmail and Outlook phone apps have their own plain-text signature setting, so the designed version appears on mail you send from a computer or webmail.
